Privacy Policy

ClearWater Pro ("we", "us", "our") provides software for pool service businesses to manage their operations. This policy explains what information we collect, how we use it, and the choices you have. It applies to businesses subscribing to ClearWater Pro, their staff, and the customers those businesses serve through our platform.

Information we collect

  • Account information — name, email, password, business name, ABN, address, phone, timezone, and role.
  • Customer and pool data — customer contact details, pool profiles, equipment, service history, water test results, photos, notes, and recommendations entered or imported by businesses using the platform.
  • Job and service data — scheduled and completed jobs, technician assignments, chemicals applied, parts used, and customer-facing reports.
  • Billing data — subscription plan, billing status, and limited payment metadata. Card details are processed by Stripe and are not stored on our servers.
  • Usage and device data — pages visited, actions performed, browser/device information, and error logs needed to operate and improve the platform.
  • Support data — messages, tickets, and audit logs created when you contact support or when platform support staff access your account under "Support Mode".

How we use information

  • To provide, maintain, and improve ClearWater Pro.
  • To run your subscription, including trials, renewals, and cancellations.
  • To generate customer-facing reports, quotes, invoices, and portal access for the businesses using the platform.
  • To send transactional emails (auth, password reset, ticket updates, report links).
  • To provide customer support and to investigate security or abuse.
  • To comply with legal obligations.

Third-party services

We rely on the following providers to operate the platform:

  • Stripe — subscription billing and payment processing.
  • Xero — optional accounting integration when a business connects it.
  • Email delivery providers — to send transactional emails on our behalf.
  • Cloud infrastructure providers — to host the application, database, and file storage.

Each provider only receives the minimum data needed to perform its role. Customer card numbers are handled by Stripe directly and never reach our servers.

Customer reports and portal access

Pool businesses can share service reports, quotes, and invoices with their customers through a portal. We strip internal notes, costs, supplier pricing, and debugging information from anything shown to customers. The business using ClearWater Pro controls what their customers can see.

Data location and security

Data is stored with cloud providers operating in secure datacentres. Photos and other uploads use private storage with signed access. We enforce role-based access controls and tenant isolation so that one business cannot see another business's data.

Retention

We retain data for as long as your business has an active subscription and for a reasonable period afterwards to support reactivation and legal obligations. You can request earlier deletion at any time.

Your rights

You may request access to, correction of, or deletion of your personal information by emailing info@clearwaterpro.com.au. Pool customers should contact the pool business that serves them in the first instance; we will work with that business to action the request.

Children

ClearWater Pro is intended for business use and is not directed at children.

Changes

We may update this policy from time to time. We will post material changes inside the app.
